CONSTITUTION AND BY-LAWS - ARTICLE XIII
Representation at Conference
Section 1
Representation at a Conference shall consist of delegate(s) from Clubs in good standing. If a Club is unable to have a delegate attend a Conference, it may appoint an Active Member of another Club as its proxy to represent it and vote on its behalf, but no person shall carry proxies for more than two (2) clubs.
Section 2
Delegates and proxies shall be Active Members.
Section 3
A Club shall be considered in arrears if its fees to the Organization are not paid by December 31st of the fiscal year in which they are due and payable.
Section 4
(a) Every club having a total membership of twenty (20) or less shall be entitled to one (1) delegate; one (1) additional delegate shall be allowed for every twenty (20) additional members or fraction thereof, based on paid up membership as of April 30th, to be received by the Ontario Treasurer no later than April 30th of the fiscal year in which they are due and payable.
(b) Clubs, which are eligible to appoint, more than one delegate may authorize one member to act as their delegate and to carry the other allowable proxy votes.
Section 5
(a) Six weeks prior to the Provincial Conference date, each club shall complete the "Appointment of Delegate/Alternate/Proxy Credential Form". Part 2 of this form shall be sent directly to the Provincial Credentials Chairperson. Any subsequent changes of the appointment must be confirmed in writing to the Credentials Chairperson by the club's signing officers.
(b) Part 1 of the Appointments form shall accompany the delegate/alternate/proxy to the Conference. This part of the "Appointment of Delegate/Alternate/Proxy Credential Form" shall be presented at the Conference to obtain voting credentials.

Article XIIIA - Representation at District Meetings
Representation shall consist of delegates from each Club assigned to the District. Each Club shall be entitled to either:
one (1) delegate for each twenty (20) members or fraction thereof, OR
three (3) voting delegates from each Club in the District
provided the Club has remitted its annual fees to the Provincial Organization as of April 30th immediately preceding the District Meeting. Whichever method of representation selected should be approved by the District at least one year in advance.
